How to Hire a Fence Contractor in Kansas City (Red Flags, Questions, Contract Checklist)

Most fence complaints in Kansas City trace back to hiring, not materials. Cedar is cedar. Vinyl is vinyl. What separates a fence that lasts 20 years from one that leans in three winters is who set the posts, how deep, in what, and whether the contract actually holds them to it.

Here is what to look for, what to ask, and what to insist on — from someone who quotes fences in this metro every week.

The 4 non-negotiables before you sign anything

  • Licensed where the work happens. KCMO, Overland Park, Olathe, Lee's Summit, Leawood, Prairie Village, Mission, Merriam, and most metro cities require a contractor license or registration. Ask for the number and look it up.
  • General liability insurance, minimum $1M, with a current COI. Ask for the certificate emailed directly from the insurance agent, not a PDF the contractor forwards.
  • Workers' comp if they have employees. If they say "we don't need it, we're all 1099," and someone gets hurt on your property, you can become the deep pocket.
  • A written workmanship warranty in years, not "we stand behind our work." Two years is a floor. Five to ten is the KC industry standard for reputable crews.

If any of these four are shaky, stop. Nothing else matters.

12 questions to ask every KC fence contractor

1. How deep are your posts set? (Answer must be 30 to 36 inches — KC frost line is ~30".) 2. Are posts set in concrete, and how much per hole? (One 60 lb bag minimum, two for gate and corner posts.) 3. Wood posts, steel posts, or vinyl sleeve over steel? (For wood and vinyl fences, steel-post construction is the longevity upgrade.) 4. Who pulls the permit? (Should be them, not you.) 5. Do you call 811 before digging? (Yes, always, and they wait the required response window.) 6. What gauge / thickness / grade is the material? (Chain link: 11 ga vs 9 ga. Aluminum: residential vs commercial. Vinyl: wall thickness in inches, not "premium".) 7. Are gate posts oversized and set deeper? (Yes — 4x6 or steel, 42"+ deep for a walk gate, more for driveway gates.) 8. What hardware do you use on gates? (Stainless or heavy-duty powder coat. Not zinc that rusts in two winters.) 9. Do you use a kicker board / rot board on wood fences? (Yes — cedar or PT pine along the ground so pickets don't wick moisture.) 10. Do you dispose of the old fence? (Should be itemized in the quote, not a surprise dumpster fee.) 11. How do you handle HOA and property-line issues? (They should ask about both on the walk-through, not shrug.) 12. Payment schedule? (Deposit under 50%, balance on completion after your walk-through — never full up front.)

The right contractor answers these fluently. A wrong contractor gets vague, defensive, or changes the subject to price.

9 red flags that predict a bad install

  • Door-knock or storm-chaser sales. After a KC hail or wind event, out-of-state crews sweep in. They vanish before the wood warps.
  • Only a phone quote. Slope, soil, access, removal, and utilities move the price by thousands. A per-foot number without a site visit is a guess.
  • Deposit over 50%, or "we need it in cash". Legitimate contractors run on 25–40% deposits and accept card, check, or ACH.
  • No physical address or the address is a UPS Store. A real KC fence company has a yard, a shop, or at least a home base you can look up.
  • Price that undercuts everyone by 30%+. Something is missing — post depth, post material, hardware grade, or the warranty is worthless.
  • Vague materials. "Premium vinyl", "commercial-grade aluminum", "heavy-duty chain link" with no gauge, wall thickness, or manufacturer named.
  • Pressure to sign today for a discount. Real quotes are good for 14–30 days. Same-day pressure is a sales tactic, not a scheduling reality.
  • No written contract, or contract fits on one page. Missing scope = missing accountability.
  • Bad or missing local reviews across multiple platforms. Angi, Google, BBB, Nextdoor. One platform can be gamed. Four is a pattern.

What must be on the contract — line by line

A KC fence contract that will actually protect you includes, at minimum:

  • Full legal business name, license number, and physical address.
  • Detailed scope: linear footage, style, height, material grade, post material and depth, concrete per hole, gate count and size, hardware brand.
  • Removal and disposal of the existing fence, itemized.
  • Permit responsibility (who pulls, who pays).
  • HOA approval (whose job to submit, whose job to wait for).
  • Locate call (KS One Call / MO 811) with a start-date contingency.
  • Start and completion window — not an exact day (weather moves KC schedules), but a defined window.
  • Payment schedule with dollar amounts and what triggers each stage.
  • Workmanship warranty term and what it covers (posts, structure, gate operation, sagging). Manufacturer warranty on the material is separate.
  • Change-order clause — nothing extra gets billed without your signature.
  • Lien waiver on final payment.

If any of these are missing, ask for them in writing before signing. A contractor who won't add them is telling you something.

How to read a KC fence quote in 60 seconds

Line up 3 quotes and check five numbers:

1. Post depth — 30 to 36 inches, in writing. 2. Post material — steel, cedar 4x4, or PT pine 4x4. Steel = longest life. 3. Concrete per hole — one to two 60-lb bags. 4. Warranty in years — 2 minimum, 5–10 preferred. 5. What's excluded — removal, permit, stain, dumpster, gate opener. Anything not listed is a probable upcharge later.

The cheapest quote usually cuts posts, concrete, or warranty. That's where the money hides.
